To Renew Or Not To Renew…There Is No Question!

The current business model for enterprise level capture software suites is not simply to sell you a product and walk away, but rather it is to become a partner. The initial purchase is the beginning of that relationship. When you invest in a software suite such as Kofax Capture or ILINX Capture, you are modifying your business processes to accommodate the features and capabilities of the product to hopefully improve you productivity.  Once these capture products become part of your work life you will want to keep up your maintenance/software Assurance/upgrade assurance, so as new versions are released, you take advantage of a new feature or simply to stay compatible with your current operating system. If it was worth investing in originally it is worth maintaining.

Some customers choose not to adopt the partner model and never buy maintenance beyond the first year. Then the day comes when the system goes down and they don’t even know where to start to fix the problem.  And in order to get the current version, the manufacture requires them to pay for all the back maintenance plus a reinstatement fee. Sure the first reaction might be to start over fresh with another product, but once you look at changing your processes to accommodate a different product, you can quickly eliminate the savings you thought you were getting in the first place.

In terms of license volume reduction, it has been my experience that the customer is only saving hundreds of dollars today with the potential of spending thousands in the future.  I think that it is a bold move by some manufacturers  to enforce the “all or nothing” approach to license renewal but it is really in the best interest of the customer to keep current with all of their licenses.  I think this was a driving force when this policy was constructed.  I think it causes a lot of work for more than one person to keep track of licenses that customers may or may not be using when they are considering just a partial renewal.  That is one of many reasons why end users are becoming more and more interested in ILINX Capture, to avoid the hassles of volume-based licensing.  The pro’s to renewing software assurance are obvious and the expenditure is nominal; the cons are sometimes surprising and the expenditure is often alarming.

Does Your Scanner Like to Pull Multiple Pages or None at All?

Is your scanner refusing to pull one page at a time like it should be?  Try cleaning the pick up, seperation, and feeding rollers.  Most scanners have cleaning kits available with the necessary items.  Also check to make sure your documents are being properly prepped.  Proper document prep includes: removing staples and post-its, making sure the staple holes are not hanging on to each other, line up the corners of all the documents, and fanning the documents prior to scanning.
If you have done all of the above and the documents are still feeding poorly you may need to replace your rollers with are considered a consumable item. I know you can purchase all scanner comsumables from ImageSource, Inc.

Main Causes for Image Quality Issues on Fujitsu Scanners

Do you ever get those annoying lines on your scanned images and not sure what the problem is?  The majority of image quality issues experienced with Fujitsu scanners can be easily resolved by the user.  The first thing I would try is to clean the ADF glass.

On occasion there might be other hardware issues that could require a Service Technician to come on-site to resolve.  These include: dust on the optics and underside of scan glass assembly and old or defective lamps.  These issues can also give a back or front Optical Alarm error.

Another possible cause of image quality issues could be scratches on the glass assembly due to staples being feed through the scanner still on the paper.  Don’t forget to remove staples from paper before scanning!  The scratched glass would require a Service Technician to come out and replace that part.

Who Needs a Scanner? I Think I Need a Scanner…

Public Access to Records in Oracle UCM Can Make Web Sites Vulnerable

I was recently surprised to find a lot of companies running Oracle UCM systems that were exposed in a way that someone could hijack the website. We were looking for documents related to generic properties forms on the internet and quickly found 4 large government and corporate companies with systems left wide open with material relating to their websites. We logged on as a guest user and we could have deleted the web content or checked out the content and checked in new content giving us control of what is on their websites. I was able to get the emails of the contributors from the system and emailed them to let them know that they need to lock down their site. It was interesting that I never got a response from any of the people and that the web sites are still exposed. When mixing critical business content and public access you can’t take security and rights issues lightly. In this case, a simple checkbox can make the difference between fast access to important ECM records and becoming a victim of HTML theft.
